1. Introduction

Virtual Care Medical Group, P.A. ("VCMG," "we," "our," or "us") respects your privacy. This Privacy Policy explains how we collect, use, and share information through virtualcaremedical.com (the "Site"). VCMG is an independently operated physician medical group, organized as a Florida professional association, that delivers physician-led virtual care.

This Privacy Policy applies to the Site. It is not a contract and does not create any contractual rights or obligations. We may update this Privacy Policy from time to time, and we will make reasonable efforts to note material changes before they take effect. Your continued use of the Site after an update means you accept the revised policy.

Important — this Site is informational only. The Site provides general information about our practice and clinician opportunities. It is not a patient portal and is not intended for the submission of medical, diagnostic, or treatment information. Please do not submit protected health information (PHI) through any web form, email, or text feature on this Site. Any PHI we inadvertently receive through the Site is promptly deleted.

2. A Note About Protected Health Information

When you receive clinical care from VCMG, you do so through our designated clinical platform — not through this public Site. In that clinical setting, VCMG is the covered entity under the Health Insurance Portability and Accountability Act of 1996 ("HIPAA"), and your protected health information is governed by VCMG's Notice of Privacy Practices, not by this Privacy Policy.

VCMG receives management and administrative support from a Management Services Organization (the "MSO") and may use other service providers for non-clinical functions such as technology, billing, and scheduling. Where any such party creates, receives, maintains, or transmits PHI on our behalf, it does so as our business associate under a HIPAA-compliant business associate agreement, and clinical decision-making remains solely with VCMG's licensed clinicians.

If you have questions about how your PHI is handled in connection with your care, please review VCMG's Notice of Privacy Practices, which is provided to you through the clinical platform, or contact us using the details in the Contact Us section below.

3. Information We Collect

Information you provide to us

When you contact us, apply to join our clinician network, or otherwise interact with the Site, you may provide information such as:

  • Name, email address, telephone number, and mailing address;
  • Professional and credentialing information you submit through a careers or contact form;
  • Username and password, where account features are offered;
  • Any other information you choose to include in a message, form, or attachment.

Please do not include health, medical, or other PHI in general contact or careers forms; such information will be deleted as described above.

Information collected automatically

When you use the Site, we and our service providers may automatically collect: IP address, approximate geolocation, device identifiers, browser and device type, and the pages or features you request. We collect this information through cookies and similar technologies, as described below.

4. How We Use and Share Your Information

We use the information collected through the Site to:

  • Respond to your inquiries and provide the information or services you request;
  • Evaluate and process clinician applications and recruiting;
  • Operate, maintain, secure, and improve the Site;
  • Analyze usage and understand how the Site is used; and
  • Comply with legal obligations and protect our legal rights.

We may share information with: the MSO and other service providers who perform functions on our behalf (subject to confidentiality and, where applicable, business associate obligations); professional advisors; and government or regulatory authorities where required by law or to protect our rights, users, or the public. We do not sell information collected through the Site. We may also share information in connection with a corporate transaction, such as a merger, financing, or reorganization, consistent with this Privacy Policy.

5. Third-Party Links

The Site may link to third-party websites or resources. Those sites are not under our control, and we are not responsible for their content, privacy practices, or security. Links are provided for convenience and do not constitute an endorsement. We encourage you to review the privacy policy of any third-party site you visit.

6. Cookies and Similar Technologies

The Site uses cookies and similar data-collection technologies to operate the Site, remember preferences, and understand usage. Where non-essential cookies or analytics and advertising technologies are used, users in jurisdictions such as the European Union and California may be given notice and an opportunity to consent (as required under the GDPR) or to opt out (as required under the CCPA/CPRA). You can usually manage cookies through your browser settings; disabling some cookies may affect how the Site functions.

7. Retention of Your Information

We retain personal information collected through the Site for as long as necessary to fulfill the purposes described in this Privacy Policy, and for longer where required by law or where reasonably necessary to establish, exercise, or defend our legal rights. Note that clinical records associated with your care are retained separately, under VCMG's clinical record-retention practices and applicable Florida and federal law, and are not governed by this Privacy Policy.

8. Information for Users Outside the United States

The Site is intended for use within the United States. If you access the Site from outside the United States, your information will be transferred to, stored, and processed in the United States, where data-protection laws may differ from those of your jurisdiction. By using the Site, you consent to that transfer and processing. Individuals in the EEA, the United Kingdom, or California may have additional rights — such as the right to access, correct, delete, or restrict the use of their personal information — and may exercise those rights by contacting us at the email below.
